CANCELLATION POLICY – Back To Life Pain Clinic

1. Objectives and Background

Back To Life Pain Clinic is committed to providing the best service in a timely manner. We aim to accommodate your needs and schedule as best as possible. Unfortunately, when a client cancels without adequate notice, it prevents another client from being served.

This cancellation policy is designed to respect the time commitment of all involved. It outlines the process for cancellations and the applicable fees. It is intended to be fair to both our clients and our clinic – ensuring time can be managed effectively, and appointment opportunities are not lost.

2. Cancellation Process

We understand that life happens and situations may arise where you need to cancel your appointment. Due to limited appointment availability, we kindly ask that you give as much notice as possible.

Cancellations can be made by:

We require a minimum of 24 hours’ notice for any cancellations or changes.

If no notice is given, or the notice falls within the 24-hour window, a cancellation fee will apply as outlined below.

2.1. Late Arrivals

If you arrive late, we will do our best to honour your full session time, but we may need to shorten it to avoid impacting the next client.

If you are more than 15 minutes late, your appointment may be cancelled and the cancellation fee may apply.

3. Cancellation Fee

(a) The late cancellation fee is 50% for less than 24 hours notice; a 100% fee will be charged for less than 2 hours notice

(b) The no show fee is 100%

(b) The cancellation fee will be charged by credit card or bank transfer.
(c) The cancellation fee may be deducted from any deposit paid for the appointment (if any).
(d) The cancellation fee is the sole responsibility of the client and must be paid in full within 7 days after invoicing.

4. Refund Policy on Deposits

If your appointment is cancelled with more than 24 hours’ notice, your deposit will be refunded.
Please note: a 3% processing fee will be deducted to cover administrative and accounting costs.

If the cancellation falls within the 24-hour window, the deposit is non-refundable and will be used toward the cancellation fee.

5. Exceptions to Cancellation Fees

We understand that true emergencies and unavoidable events happen. If your cancellation is due to a serious or unforeseen circumstance, please reach out – we may waive the fee at our discretion.

All requests for fee waivers must be approved by Back To Life Pain Clinic.
